In detail

The differences, up close.

What each one looks like in the product, so you can judge it yourself.

1 · AI from day one

AI teammates on Free, and credits on every plan.

A team of up to 5 can start with 2 AI teammates and 500 credits a month without paying. Paid plans include more credits per person, pooled across the workspace. At the limit, AI pauses: there is no overage and nothing to top up.

  • Pick from 37 ready-made teammates, or describe your own
  • Assign a task, @mention one in a comment, or run it on a schedule
  • Results land as a comment and files, under “AI results to review”

At your limit, AI pausesUntil the 1st, or until an admin raises it. No overage, nothing to top up.
2 · Approvals

Human approval, down to the exact arguments.

monday.com also shows a “human in the loop” tile on its home page (checked 14 Oct 2026), and we haven’t compared the details. Here is exactly how it works in TaskCrew. Try both buttons.

  • You see the exact arguments, and they can’t be edited
  • Decided once, by a person: never by an AI teammate or an API token
  • No answer within 30 minutes means no; every decision is in the audit log
  • Each run gets its own container: no network, no secrets

4 · Self-hosting

Run it on your own servers.

TaskCrew runs from one Docker Compose file. Your database, your files and your email stay with you, and AI runs on your own provider key. monday.com is cloud-only (checked 14 Oct 2026).

  • Files on local disk or any S3-compatible bucket
  • Automatic HTTPS with Caddy
  • Daily database backups
  • Or use TaskCrew Cloud, and we run it for you

Being fair

When monday.com may fit better.

monday.com is the established vendor, with a broad product family. If one of these matters most to you today, it may be the better choice.

Our take

If you need a full CRM or a certificate today, monday.com is probably the safer pick. If AI on every plan, docs and a vault in one place, or self-hosting matter more, try TaskCrew free and import one board.

You want a full CRM

monday.com has a mature CRM product.

TaskCrew todayA Sales pipeline template with deal values, goals and a Lead Researcher. It isn’t a dedicated CRM, and it connects to HubSpot.

You rely on many integrations

monday.com advertises 850+ integrations (checked 14 Oct 2026).

TaskCrew today29 built-in connectors with one-click sign-in, plus any remote MCP server you add and a REST API.

Badges and analyst reports matter to your buyers

monday.com shows compliance badges and Gartner recognition on its site.

TaskCrew todayNeither yet. Self-hosting keeps data on your servers, but it isn’t a certificate.

Your boards are built, and they work

If your monday.com boards, automations and integrations do the job, moving has a real cost, and monday.com has the longer track record.

TaskCrew todayThe importer brings items and subitems as tasks and subtasks, with people, status, dates, tags and other columns. Updates, automations and integrations you set up again. TaskCrew is new: the changelog shows what shipped, and when.

Make the switch

Bring your monday.com work with you.

Try TaskCrew with one board first. The import goes into a new list, so nothing you have changes, and Undo import takes it all back.

1

Export from monday.com

Open the board, then ⋯ next to its name → More actions → Export board to Excel. Each group becomes a label, and subitems become subtasks.

2

Match and check

Match each status, person and field. A dry run says what will be made and what is left out, before anything is created.

3

Import, or undo

The import runs in the background with live progress. Up to 20 MB, 5,000 tasks and 20,000 comments per file.

FAQ

Questions, answered

Switching and your data

How do I move from monday.com?

On monday.com, open the board and choose ⋯ next to its name → More actions → Export board to Excel. In TaskCrew, open a project, choose + Add → Import tasks → monday.com and upload the file. Match statuses, people and columns, check the dry run, and import. How importing works.

What happens to groups, subitems and columns?

Each group becomes a label, like “Group: This week”, so you can filter or group by it. Subitems become subtasks. Person columns become assignees, Status the status, Date or Timeline the dates, Tags labels, and other columns become fields you choose a type for.

What doesn’t come over?

Updates (comments) aren’t read from the Excel file, and attachment files stay on monday.com: links in a Files column come over. Automations, dashboards and integrations you set up again. Nobody is notified and no automations run while you import. People who can’t open the project stay unassigned, and the task names them.

Pricing

Does the Free plan really include AI?

Yes: 500 AI credits a month and 2 AI teammates, for up to 5 people and 3 projects. monday.com’s Free plan had up to 2 seats and no AI when we checked on 14 Oct 2026.

What happens when we reach our AI limit?

AI pauses. New runs wait until the 1st of next month, or until an admin raises the limit. Owners and admins are told at 80% and 100%. Nothing is billed on top.

Who counts as a paid seat?

Owners, admins and members. Guests, AI teammates, people opening a public link and form respondents are free. When you downgrade, nothing is deleted: anything over the new plan’s limits becomes read-only.

AI and security

monday.com has human-in-the-loop too. What’s different?

We haven’t compared the details of monday.com’s version. In TaskCrew, approval is per action in another tool: you see the exact arguments, which can’t be edited, a person decides once, AI teammates and API tokens never can, and an unanswered request is rejected after 30 minutes. Each run is also sandboxed with no network and no secrets. How AI control works.

Is TaskCrew certified?

Not today. monday.com shows compliance badges on its site, so if you need a certificate now, it may fit better. TaskCrew has SAML SSO and SCIM on Enterprise, an audit log, access review, and you can host it yourself. Read about security.

Can AI teammates see our passwords?

No. Password vaults are invisible to AI teammates, MCP, search and exports, and every reveal and copy by a person is logged.
