Pick your tool

Where are you coming from?

The wizard shows you how to export from each tool. Here is the same help, so you can get the file ready first.

J

Jira

Issues export, all fields (.csv)

How to export from Jira

  1. In Jira, search for the work items you want (e.g. project = WEB).
  2. Click Export → Export CSV (all fields).

What comes over

Status, assignee, priority, labels, dates, parents as subtasks, comments, attachment links and custom fields.

Choose “all fields”: comments, labels and attachments are only in that export. Sprints and ranks aren’t imported.

Up to 20 MB and 5,000 tasks

Trello

Board export (.json)

How to export from Trello

  1. Open the board in Trello.
  2. Open the board menu (⋯) → Print, export and share → Export as JSON.
  3. Save the page that opens as a .json file.

What comes over

Lists as statuses, cards, members, labels, checklists, custom fields, comments and attachment links.

Members come over by name. Trello keeps only the latest 1,000 actions in the file, so very old comments may be missing.

Up to 20 MB and 5,000 tasks

Asana

Project export (.csv)

How to export from Asana

  1. Open the project in Asana.
  2. Click the arrow next to the project name → Export/Print → CSV.

What comes over

Sections as statuses, assignees, start and due dates, tags as labels, notes, parent tasks and every other column as a field.

Asana’s CSV has no comments or attachments.

Up to 20 MB and 5,000 tasks

How to export from ClickUp

  1. Open the list or space in ClickUp, in List view.
  2. Click ⋯ → Export view → CSV, with all columns and all tasks.

monday.com

Board export (.xlsx)

How to export from monday.com

  1. Open the board on monday.com.
  2. Click ⋯ next to the board name → More actions → Export board to Excel.

What comes over

Items and subitems, people, status, dates, tags, file links and every other column as a field.

Each group becomes a label (“Group: This week”); subitems become subtasks.

Any CSV or Excel sheet

Any spreadsheet (.csv, .xlsx)

What the file needs

  1. One row per task, with column names in the first row.
  2. Next you say what each column is: title, status, assignee, dates…

What comes over

Title, description, status, assignee, start and due dates, priority, estimate, labels, parent and any other column as a field.

The wizard asks which way round your dates are written: is 03/04 the 3rd of April or the 4th of March?

Up to 20 MB and 5,000 tasks
How it works

Five steps, and nothing happens until you say so.

In any project, choose + Add → Import tasks, pick your tool and upload the file.

1

Export

Export from your tool. The wizard tells you how, and which file it needs.

2

Match

Map each status (or merge it), each person to a member, and each field to a type.

3

Dry run

See what will be made and what is left out, before anything is created.

4

Import

It runs in the background with live progress, into a new list.

5

Undo import

Not right? One click archives the new list and everything in it.

What comes over

What comes over, and what doesn’t.

The importer brings the work itself. The setup around it, you rebuild in TaskCrew, often in a few sentences.

Comes over

  • Tasks and subtasks, into a new task list
  • Comments, with their original author and date (“Jane wrote on 12 Mar 2024: …”)
  • Checklists, labels and custom fields, each mapped to a type you choose
  • Statuses as the new list’s states, or merged into one another
  • People matched to members by email, then by exact name
  • Attachment links, dates, priorities and estimates

Stays behind

  • Attachment files themselves: their links come over, the files stay where they are
  • Automations, dashboards and integrations from the old tool
  • People who can’t open the project: their tasks stay unassigned and name them
  • Notifications: nobody is notified and no automations run during an import
Limits

Per file, so big projects come in parts.

Export a big project one list, board or search at a time, and import each into its own list.

20 MB

for one file. A bigger file is refused at upload.

5,000

tasks and subtasks in one import.

20,000

comments in one import, each with its original author and date.

Importing the same file again warns you first.

FAQ

Questions, answered

Will importing change anything I already have?

No. Every import goes into a new task list in the project you choose. Nothing in your other lists changes, and Undo import archives the new list if it isn’t right.

Will my team get a flood of notifications?

No. Nobody is notified about imported tasks, comments or assignments, and no automations run while the import happens.

What if a file is bigger than the limit?

One file can hold up to 20 MB, 5,000 tasks and subtasks and 20,000 comments. Export a big project in parts, for example one list, board or search at a time, and import each into its own list.

What happens to people who aren’t in TaskCrew yet?

The wizard matches each person in the file to a member who can open the project, by email first and then by exact name. Anyone it can’t match stays unassigned, and the task names them, so you can assign it later. Invite your team first for the best match.

Can I import the same file twice?

Yes, but the wizard warns you first, so you don’t end up with every task twice by accident.

Can someone help us move?

Yes. Book a migration call and we’ll plan the move with you: which tools, in which order, and how to map statuses and fields. Book a migration call.
